TERMS & CONDITIONS

• Client Responsibilities: The Client shall arrange travel, accommodation, and meals for the team for the full duration of outstation and multi-day events, and shall secure any venue permissions required for photography/videography access.
• Copyright & Usage Rights: The photographs and films are yours to print, gift, and share on your personal social media for life, with no permission needed from us. As their creators, Meraki – We Capture Memories retains copyright, which simply means they are not to be re-edited or used commercially without our written consent. We would love to feature a few favourite frames in our portfolio and social media — if you would rather we did not, tell us in writing at any time and we will withdraw them.
• Scope of Coverage: Coverage is limited to the side of the family stated at the beginning of this document. Covering the other side’s residence, rituals or functions is treated as an additional assignment and will be quoted separately.
• Data Back-up & Storage Media: The Client shall hand over one new 2TB external hard disk to the Studio before the first event begins; all final deliverables are copied onto this drive and returned at the time of final delivery. If it is not provided before coverage begins, delivery may be delayed accordingly, or the Studio may arrange a drive at actual cost, payable with the final instalment. Through the editing period all event data is held on redundant back-up storage, and delivered files are retained in cloud back-up for the period specified in the Deliverables section, after which the Studio is not obligated to retain them. The Studio takes all reasonable precautions but shall not be held liable for data loss arising from natural calamities, theft, or storage device failure beyond its reasonable control.
• Delivery Timelines: Edited photographs will be delivered within 2–3 weeks of the event; the wedding film/highlight film will be delivered within 2–3 months following completion of event coverage. Two rounds of revisions on the album layout and film edit are included; additional revisions beyond this will be charged separately.
• Overtime & Additional Services: Coverage is planned for the hours/events specified in the Scope of Work. Any extension of hours, additional events, extra locations, or deliverables requested beyond this Agreement shall be billed separately at rates to be mutually agreed in writing before such services are rendered.
• Payment Terms: The advance retainer confirms the booking date and is strictly non-refundable under any circumstances, including cancellation or postponement by the Client. Delayed payment of any subsequent installment beyond 7 days of the due date may result in a pause of editing/delivery until dues are cleared.
• Cancellation & Rescheduling: Cancellation by the Client must be communicated in writing. In addition to forfeiture of the retainer, cancellations made within 30 days of the event date shall render the full package cost payable. Rescheduling is subject to the Studio's availability on the revised date and may attract additional charges.
• Substitute Personnel: In the rare event that an assigned team member is unable to attend due to illness or emergency, the Studio will make every reasonable effort to provide a qualified replacement from its professional network to ensure uninterrupted coverage.
• Limitation of Liability: The Studio's total liability under this Agreement, whether arising from errors, omissions, equipment failure, or any other cause, shall not exceed the total package cost paid by the Client. The Studio shall not be liable for any indirect, incidental, or consequential loss.
• Validity of Quotation: This quotation and the rates herein are valid for the period stated at the top of this document from its date of issue, beyond which prices are subject to revision.
